Graduation Ceremonies for Spring 2019 will be conducted between 04 – 05 September 2019 in Durban only.

NOTICE: Kindly contact your Faculty Office to confirm that your name is on the graduation list.  The Faculty will provide graduates with all relevant documentation. 

NB! Latecomers will not be admitted into the venue after the ceremony has started and will be directed to the overflow venue where they can watch the ceremony through livestreaming.

 

PREPARING FOR GRADUATION

AM I ELIGIBLE TO GRADUATE?

In order to receive your graduation invitation, you must fulfill all requirements for your qualification in terms of the faculty and general institutional rules in order to obtain your qualification. Should you be uncertain, please liaise with your faculty. Graduation information will be communicated via the graduation web page, your DUT4Life email and student portal, click here to access student portal.

 

If you have not heard anything about graduation, it could be due to the following possible reasons:

  • If you have changed your contact details without updating them on the university’s system, you may not receive the relevant communication.
  • If you have completed a supplementary exam, your results may not be on the University’s system. Please log on to student portal to check your academic record.
  • If you have completed credits from another tertiary institution, the results may not yet be on the University’s system or you may not have submitted the required documentation for the credit. Please contact your relevant Faculty Office urgently.

HOW DO I CONFIRM MY ATTENDANCE?

The enclosed reply card must be completed and returned to NkululekoJ@dut.ac.za or it can be dropped off at Division of Corporate Affairs: Graduation Office, Botanic Mansions Building, Steve Biko Campus, Gate 1, Durban at least 7 days prior to your graduation date even if you are not attending.

ACADEMIC ATTIRE

WHAT TO WEAR UNDER THE ACADEMIC ATTIRE?

In keeping with the formal nature of our graduation ceremony, we would like to remind you that the dress code is formal or traditional. DUT reserves the right to prevent you from crossing the stage should you be dressed inappropriately.

Students wearing high heels should note that you would be required to walk up a staircase onto the stage and off the stage via another staircase. You are advised to wear comfortable shoes and exercise caution to prevent falling

 

HOW TO HIRE OR PURCHASE YOUR ACADEMIC ATTIRE?

You may purchase or hire your academic attire from House of Graduates who are the official suppliers  They will provide the correct attire for your qualification. ACADEMIC ATTIRE COLOURS AND STYLES

You are not permitted to wear academic dress pertaining to previously obtained qualifications.

There are four styles of hoods. Each style indicates the level of academic achievement. Your hood must reflect your faculty colour as follows:

GENERAL ACADEMIC DRESS SPECIFICATIONS PER QUALIFICATION LEVEL

Qualification Specification for academic dress and headwear
Doctoral Degrees Union Jack Red gown with long-pointed sleeves pulled up in faculty colour. A hood and an oval Doctor’s bonnet with faculty coloured cord and tassels. You should not wear the Doctor’s bonnet before the certificate has been received.
Masters Degrees Black gown with long-pointed sleeves, pleated up with champagne cord and button.A hood and a black mortarboard with black tassel. You should not wear the mortarboard before the certificate has been received.
Bachelors Degrees,
National Diploma,
Higher Diploma
Black gown with long pointed sleeves, pleated up with a black ribbon.A hood and a mortarboard with a blacktassel. National You should not wear the mortarboard before the certificate has been

No mortarboard and hood is required.

MY NAME IS INCORRECT ON THE SYSTEM OR MY SURNAME HAS CHANGED, HOW DO I UPDATE THIS?

  • Please ensure that your full name is correctly reflected on the system as per your birth certificate and identity document/passport.
  • If your name is incorrectly reflected on your DUT record or you have legally changed your name, please complete the Change of Personal Details Form and submit a copy of your identity document/passport to your relevant Faculty Office. In the case of marriage or divorce, please submit a copy of your marriage certificate or divorce decree.
  • Please note that all submissions for name changes must be made at least 30 days prior to the date of the graduation ceremony.

THE DAY OF THE CEREMONY

DURBAN

WHERE IS THE GRADUATION VENUE AND WHERE DO I PARK?

Parking:    Gates 5 and 9, Steve Biko Road (formerly Mansfield Road)
Venue:       Fred Crookes Indoor Sports Centre, Steve Biko Campus, Steve Biko Road

 

WHAT DO I DO WHEN I ARRIVE?

When you arrive at the ceremony, report to your allocated table in the foyer of the Sports Centre ONE-AND-A-HALF HOURS before the commencement of the ceremony.

 

HOW DO I OBTAIN MY SEATING CARDS?

You are requested to show either your Student Card, ID or Passport when collecting your seating card.

A seating card with your name, qualification and seat number will be handed to you, together with your guest tickets. Please ensure that you sit according to your seat number.

Graduands must be seated 20 minutes before the ceremony starts. Doors to the graduation venue will close punctually at the start time.

 

WHAT HAPPENS IF I ARRIVE LATE FOR THE CEREMONY?

Latecomers will not be admitted into the venue after the ceremony has started and will be directed to the overflow venue where they can watch the ceremony through livestreaming.

 

HOW DO I OBTAIN SEATING CARDS FOR MY GUESTS?

You may invite a maximum of four guests to attend the ceremony with you. We regret that no extra guests can be accommodated.

Children under 10 years are not allowed into the ceremony

Strict security control will operate during the graduation ceremony. Please be advised that no persons will be allowed access to the ceremony without a guest ticket.

The guest tickets will be available for collection at the demarcated area at the graduation venue at 07:30 for the 09:00 ceremony, 12:30 for the 14:00 ceremony and at 16:30 for the 18:00 ceremony.

 

WHAT ARE THE SEATING ARRANGEMENTS FOR MY GUESTS?

Guests must be seated in the graduation venue at least 20 minutes before the ceremony starts.

Seats for guests are not reserved by name, ushers will be on standby to seat guests accordingly. Doors to the main hall will close punctually at the start time.

 

WHAT HAPPENS IF MY GUESTS ARRIVE LATE FOR THE CEREMONY?

Guests arriving after the ceremony has started will not be allowed into the venue and will be directed to the overflow venue where they can watch the ceremony through live streaming.

WHAT IS LIVESTREAMING?

  • Livestreaming refers to the ability to transmit and receive live video and audio coverage of an event.
  • Guests arriving late will be directed to an alternative venue where they will be able to watch proceedings as they happen.
  • Our livestream link can be accessed via https://www.youtube.com/c/MultiMediaDeptLive/live, which becomes active at 09:00, 14:00 and 17:30 for the Durban ceremonies on the day of the ceremony.

HOW LONG IS THE CEREMONY EXPECTED TO LAST?

Your ceremony is expected to last approximately 2 hours. As a courtesy, please do not leave the venue until the ceremony is concluded. You and your guests are expected to remain seated for the full duration of the ceremony.

WHAT IS THE CEREMONY PROTOCOL AND ETTIQUETTE?

You must rise when the academic procession:

  • Enters the hall at the commencement of the ceremony and remain standing until the stage party is seated.
  • Leaves the hall at the end of the ceremony.

WHAT TO DO ON STAGE?

DIPLOMA AND DEGREE RECIPIENTS

  1. When prompted by a DUT staff member, you will walk onto the stage from the left carrying your seating
    card in your right hand and your hood over your left arm.
  2. Once on stage, you will hand your card to the Executive Dean, who will read out your name.
  3. After your name has been read out, the card will be returned to you. You will then walk towards the
    Chancellor who will confer the degree by lightly tapping your head.
  4. You will then approach the Registrar, who will be at the end of the stage. You will hand your hood to the
    Registrar and then turn to face the audience.
  5. A photograph is taken once the Registrar places your hood over your shoulders.
  6. You will then leave the stage, after which your degree/diploma/certificate will be handed to you.
  7. You will return to your seat and remain seated until the ceremony is concluded.

 

CERTIFICATE RECIPIENTS

  1. When prompted by a DUT staff member you will walk onto the stage from left-hand side.

  4. Then walk towards the Vice-Chancellor who will congratulate you with a handshake.
  5. Then approach the Registrar where a photograph will be taken.

WHERE DO I TAKE GRADUATION PHOTOS?

An accredited photographer has been appointed to take your official photographs on stage.
 
Your guests should refrain from taking their own photographs and any recording during the ceremony. Images will be supplied digitally together with a list of recommended suppliers where you can get your images printed. You also have the option to have all your selected images put onto a CD.

HOW DO I GET A COPY OF A GRADUATION PROGRAMME?

Links to all programmes per session – Graduation Programmes will be uploaded 2 weeks prior to graduation. A graduation programme will be handed to you on the day of graduation.

CERTIFICATES

HOW DO I COLLECT MY GRADUATION CERTIFICATE?

Certificates are issued during the ceremony, immediately after you have crossed the stage.
Certificates will not be issued before the graduation ceremony.
Certificates will not be emailed to candidates.

PROCEDURE FOR THOSE WHO DO NOT ATTEND THE CEREMONY

If you are unable to attend your ceremony you may collect your degree/diploma/certificate by producing your ID document at your Faculty Office one week after your graduation ceremony. Your driver’s license will NOT be accepted when collecting certificates.

 

If you are sending someone to collect your certificate on your behalf, you would need to comply with the following procedure:

  1. Complete the enclosed authorization form below (Click on the relevant Faculty link below to obtain the form)
  2. The bearer must produce an ID/passport document.
  3. The bearer must produce a certified copy of the graduate’s ID/passport.

Collection of Information by Third Party:

I DID NOT ATTEND MY GRADUATION AND WOULD NOT LIKE TO CROSS THE STAGE AT A LATER DATE; HOWEVER, I WOULD LIKE TO COLLECT MY CERTIFICATE. WHAT SHOULD I DO?

  • Certificates will only be issued to candidates during the ceremony, immediately after crossing the stage; however, should you be unable to attend your graduation, you may arrange for your certificate to be collected.
  • Collection of certificates begins one week after graduation ceremonies.
  • Certificates will NOT be issued before the ceremony or immediately after the ceremony.
  • Arrangements to collect certificates must be made with the relevant Faculty Office prior to collection.

You will be allowed to attend the graduation ceremony, however, you will NOT receive your degree/diploma/certificate, until all outstanding fees are settled.
